- Provide efficient Administrative support to the Lead Hospitalist, Hospitalist Group and Chief, Department of Medicine. As well, to provide administrative patient care support to patients and families as needed.
- Schedule meetings, transcribe and distribute agendas and meeting packages relevant to meetings
- Prepare, process and submit expense claims reports for physicians (CME)
- Ensure the physician generated lists are available daily for the group and on weekends for the Department of Medicine rounding
- Review, update, and submit Hospitalist stipend to Finance monthly
- Prepare memos and letters of correspondence on behalf of the Hospitalist physicians (MRP)
- Compile statistical data for projects as they arise
- Plan, coordinate, and schedule regular monthly meetings, conferences, and external meetings,
- Prepare, coordinate, and distribute monthly Pre Operative Consultation schedule
- Liaise with allied health staff, physicians, management and general public to obtain and/or communicate relevant information
- Maintain discretion and confidentiality with regard to information and issues relating to patients, staff, and physicians
- Answer and triage telephone messages from patients, families, outside resources – family physician office, pharmacies – (prescription clarifications, LU requests), MOH
- Book new consultations and follow up appointments in Meditech for patients recently discharged from hospital with complex medical issues and ensuring all latest test results are completed and available to be reviewed before the appointment date
- Forward referrals to outside resources and communicate appointments with patient and/or family
- Call outside resources/patients with new results that require reassessment by physician
- Collect, review, and distribute insurance requests from patients, insurance companies, and Health Records and ensure all information is complete before forwarding on. Gather and track new physicians billing numbers.

- Office Administration or Medical office Administration certificate/diploma from an accredited program
- Minimum of 3 years related experience in a medical office
- Medical Terminology
- Proficient use of Microsoft Office – Word, Excel, Outlook, PowerPoint and Teams
- Ability to work as part of a team and communicate with all levels of staff in a professional manner, work with minimal supervision while continuously prioritizing duties (daily)
